For an order delivered in Bali, a catalogue price is a starting point. The confirmed product, quantity, available batch, delivery charge and offer conditions determine the quotation you can actually compare.
Use a quotation worksheet
The blank worksheet below records the details for two offers. It contains no supplier prices or rankings. Begin with one material and one required quantity; use a separate copy for a different material.
Write not confirmed when information is missing. Keep the original quotation and each supplier response with the comparison so that you can see when a detail changed.
1. Specify the same material and quantity
Write down the full product name, labelled amount per vial, supplied form and number of vials required. Preserve any distinctions stated in the product description, including named components in a blend. If two labels describe different materials or amounts, flag the difference before comparing their prices.
Check what the quoted unit means. A price can refer to one vial, a pack or the entire requested order. Record the pack size and total vial count so that a larger pack does not appear to be a direct substitute for a smaller order.
The labelled amount is the product specification. Laboratory measurements belong in the documentation record; do not replace the label with a measured result when calculating the quoted quantity. A price per milligram across different compounds or blends does not establish that the materials are comparable.

2. Record the quotation and its expiry
Keep the supplier's name, product link, quotation reference and the date you received it. Record the currency and ask when the quotation expires. If no validity period is stated, mark it not confirmed. Do not choose an expiry date yourself.
Record stock availability and any batch reservation separately. A quotation's validity does not establish that stock is reserved, and a reservation does not establish that every quoted condition remains unchanged. Ask for clarification if the price, quantity, batch or payment arrangements change before confirmation.

3. Check the conditions attached to a discount
For each offer, record the condition that makes it available: an eligible product, minimum quantity, first order, payment deadline or another stated requirement. Record whether it can be combined with other offers. Apply a discount to the comparison only after its conditions and your eligibility are confirmed.
Keep store credit separate from a reduction in the quoted goods price. Existing credit may change the amount you pay for this order; credit that might be earned later does not reduce today's payment. If an offer adds vials, record their exact material and quantity separately rather than treating every extra item as interchangeable.
Where the supplier has already included a discount in the quoted subtotal, do not subtract it a second time.
4. Compare the delivered cost to the same location
Use the same delivery destination and requested quantity for every quotation. Ask the supplier to confirm the delivery charge and any other amount payable that is not already included, such as an applicable payment charge or tax. Write not confirmed for a missing amount. A blank field is not evidence that a charge is zero.
For a fully specified quotation: goods subtotal − confirmed discounts not already included + delivery not already included + other confirmed charges not already included = delivered quotation total.
Record eligible existing store credit separately to reconcile that total with the payment requested. If a charge remains unknown, keep the result as a known subtotal with an unresolved charge; do not label it a final delivered total. Compare amounts in the same currency. If a quotation is in another currency, retain the original amount and ask for the payable amount and currency to be confirmed.
You can divide a completed delivered total by the number of identical vials quoted to understand the allocation per vial. Compare the full order totals as well, especially when one offer requires buying more vials than you need. Do not spread a mixed basket's delivery cost across products without recording how you allocated it.

5. Keep documentation differences visible
For the offered batch, record the batch number, report link or reference and the documentation state. Published, available on request and pending describe different situations. An on-request document must still be obtained before you can assess it. A published link that you cannot open should be recorded as an access problem, without assuming the laboratory result is pending or missing.
Record which analyses are documented and which information you still need. A higher price, a larger report count or a purity percentage does not establish that one offer meets every requirement. At the end of the worksheet, list the details that still prevent a direct comparison. These might include a different pack size, an unconfirmed delivery fee, an expired quotation or documentation that has not been obtained.
